2. What do we do with your personal data?

a) If you use our website or our contact form

The provision of this website requires the processing of personal data, such as the IP address for the retrieval of the content displayed on this website. We provide podcasts, videos and our own images via our website.

You also have the option of contacting us via our contact form. For this purpose, we collect the personal data that you enter in the contact form.

We use Google Web Fonts on our website. We host this service ourselves, so that no personal data is transmitted to a Google company.

g) Matchmaking

You can activate a so-called matchmaking function within the scope of some of our services. We then match your interests with the interests of other users of this matchmaking function within the framework of the respective service. Subsequently, information published about this will be displayed to the users in each case.

We use the matchmaking function, for example, as part of a controllable networking platform for participants of Messe München GmbH events. The matchmaking engine used calculates those persons, products and / or services that are most relevant to the user of the function and displays them. This enables a subject-specific interaction between visitors and exhibitors. If you use the chat functionality on our virtual platforms, your chat partner initially only receives information about your contact request. Your first name, last name and company will be transmitted to your chat partner. If your chat request is granted, your email address will also be disclosed to your chat partner.

(3) Profiling

We use an algorithm for matchmaking, which matches your interests with the interests of other users and shows you the respective matches in order. Please note that we create profiles as part of the matchmaking process. These are based on information about your interests. We match your interests with the interests of other users. From this we create a descending list according to the interests that match yours. The more your selected interests match the interests of other users, the more likely these users will be suggested to you as possible contacts.

h) When we collect trade fair photos

We process trade fair photos (including, if applicable, other personal data that you provide to us in connection with the trade fair photos) to document our trade fairs. In addition, we process trade fair photos for press and advertising purposes in all media (in particular print (e.g. brochures) and online (websites, social media, etc.), in particular through publication and use. This includes publication, use and processing for the purposes of press and public relations work, editorial reporting and advertising and marketing purposes in connection with Messe München GmbH and the trade fairs, events and other occasions it organises.

If we wish to publish and use photographic material of you in which you are prominently visible for press and advertising purposes, we will obtain your consent to do so. You can revoke your consent at any time with effect for the future.

Within the scope of application of the German Art Copyright Act (“Kunsturhebergesetz – KUG”), we may also distribute, use and otherwise process trade fair photographs in accordance with section 23 para. 1 KUG for the following purposes:

  • portraits from the field of contemporary history;
  • pictures in which the person appears as an accessory next to a landscape or other location;
  • pictures of meetings, processions and similar events in which the persons depicted have taken part;
  • portraits which are not made to order, provided that the processing or display serves a higher artistic interest.

(2) Weighing of interests

Within the framework of the necessary balancing of interests, we have weighed up your interest in confidentiality and our interests in the creation and use of trade fair photos, taking due account of your personal rights. In each case, your interest in confidentiality is subordinate. Otherwise, we will not be able to create and use trade fair photos.

(3) Recipient categories

The trade fair photos may be transmitted to journalists, media companies, press and photo agencies as well as platforms, also abroad, and published for the above-mentioned purposes of press and public relations work, editorial reporting as well as advertising and marketing purposes. In addition, we use service providers for the provision of services, in particular for the production of trade fair photos. These service providers are contractually obligated by us to exercise the same care in processing personal data as we do ourselves.

i) If you use our exhibitor shop

As an exhibitor, you can use our Exhibitor Shop. We process the personal data that you provide to us for this purpose.

This data helps us to ensure that your trade fair appearances run smoothly, to offer you a selection of individually tailored services and to present the products, services and marketing offers of Messe München to you.

We process your personal data only for the initiation, execution and settlement of the corresponding usage contract and/or exhibitor contract. We may also process your personal data on the basis of our legitimate interest.

(2) Weighing of interests

Within the framework of the necessary balancing of interests, we have weighed up your confidentiality interests and our interests in the provision and improvement of our services. In each case, your confidentiality interest is subordinate. Otherwise, we would not be able to provide you with services tailored to your needs.

j) When exhibitors use your personal data for advertising purposes

When purchasing a free ticket (e.g. by redeeming a voucher) and a paid ticket, data may be passed on to exhibitors.

Data (name, position, company, email address as well as other voluntary information from your participant profile, e.g. interests) will be passed on to the exhibitor. The data transfer to the respective company takes place when you visit the company profile (Brand Room) and/or attend a company session sponsored by the company. This takes place independently of the privacy settings that you set for your participation on the platform.

You also have the option of transmitting your electronic business card to third parties (exhibitors). You can do this either directly via the “Scan2Lead” function or via the GRIP Matchmaking app. The prerequisite for the "Scan2Lead" function is that your business card is available in the form of a QR code. The exhibitor can then read your business card and is comparable to handing over an analogue business card.

Legal basis

When obtaining a free ticket, the data processing is based on the respective contract. When purchasing a fee-based ticket, the data processing is based on your previously given consent. The same applies to the forwarding and processing of your business card. You can revoke your consent at any time with effect for the future.

k) When you use third party services through our website

We include third party services on our website so that you can use them. These include Google Maps and video services.

We use the “Google Maps” service of Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA ("Google") on our website. We process your personal data in order to use Google Maps. Maps from this service are displayed on one or more sub-pages. When you call up such a sub-page, a connection is established from your device to a Google server in the USA.

We also use various video services on our website:

    We use the provider YouTube for the integration of videos. YouTube is operated by YouTube LLC with headquarters at 901 Cherry Avenue, San Bruno, CA 94066, USA. YouTube is represented by Google.

    On our website we use plugins of the provider YouTube. If you call up the web pages provided with such a plugin, a connection is established to the YouTube servers and the plugin is displayed. This transmits to the YouTube server which of our web pages you have visited. If you are logged in as a member of YouTube, YouTube assigns this information to your personal user account. When using the plugin, such as clicking on the start button of a video, this information is also assigned to your user account. You can prevent this assignment by logging out of your YouTube user account as well as other user accounts of the companies YouTube LLC and Google before using our websites and deleting the corresponding cookies of the companies.

We use cookies and analytics tools to provide our website. Some providers we use also process your personal data outside the EU/EEA (see below the section “Data transfer to third countries”).

o) If you want to share your event participation in social media

You have the option of sharing your event participation in your network by combining your profile picture with an event layer.

Using the web-based LIVEDAB® Filter application, you can select a photo from your end device and combine it with predefined filters using the application. In addition, you can optionally add your name, company name or upload logos to the filter to further personalize the image. The processing of the selected images and entries takes place exclusively locally on your end device. You can then save the finished image locally on your device and use it for your social media presence.

During the use of the web application, anonymous tracking events such as “page view”, “selection of a filter”, “confirmation of upload” and “download of the image” are recorded to measure the success of the campaign.

By using the web application and uploading your photo, you give your consent to our data processing. You can revoke your consent at any time with effect for the future.

(2) Recipient categories

We use service providers to provide the web-based application. These service providers are contractually obliged by us to exercise the same care in the processing of personal data as we do ourselves. This service provider is subject to the same strict data protection regulations.

3. How long do we store your personal data?

We delete your personal data when the respective purpose of the storage no longer applies and no statutory provision requires a retention (e.g. a retention obligation according to the German Tax Code and/or the German Commercial Code). If deletion is not possible in an individual case, processing will be restricted. Statistical evaluations are only carried out in anonymous form.

b) Should your personal data be incorrect or incomplete, you have the right to have it corrected and completed.

d) If the legal requirements are met, you can demand a restriction of the processing of your personal data.

e) You have the right to object to processing insofar as the data processing is carried out for the purpose of direct marketing or profiling. If the processing is carried out on the basis of a balance of interests, you may object to the processing on grounds relating to your particular situation.

f) If the data processing is carried out on the basis of your consent or within the framework of a contract, you have a right to the transfer of the data provided by you, provided that this does not affect the rights and freedoms of other persons.

g) If we process your data on the basis of a declaration of consent, you have the right to revoke this consent in whole or, if applicable, in part at any time with effect for the future. The processing carried out before a revocation remains unaffected by the revocation.

h) You also have the right to lodge a complaint with a data protection supervisory authority at any time if you believe that data processing has been carried out in breach of applicable law.

5. In what context do we create automatic profiles?

We do not create automatic profiles, outside of matchmaking as part of networking.

6. Data transfer to third countries

In some cases, personal data will be transferred to exhibitors and service providers in third countries (see the relevant note within our data protection information). Third countries are countries outside the EU and outside the EEA. These third countries also include the USA.

In the USA there is no comparable level of data protection as in Europe. In particular, it is possible that government agencies access personal data without us or you knowing about it. Legal prosecution may not be successful.

The legal basis for such data transfer is generally your consent (Art. 49 para. 1 sentence 1 lit. a) GDPR) or a respective contract performance (Art. 49 para. 1 sentence 1 lit. b) GDPR).

7. Data security

We take appropriate technical and organisational security measures to protect the personal data we process against accidental or intentional manipulation, loss, destruction or against unauthorised access.
