Measures relating to the safety and hygiene concept (last updated June 26, 2020)

On the event site
The number of visitors is determined by the available event space. The authorities' requirements regarding the number of visitors allowed can thus be met. Additionally, this creates the basis for ensuring that the minimum distance of 1.5 metres is maintained Due to the necessary admission controls, information is available about how many people are on the event area.

At stands
Due to the requirement to wear a mouth and nose cover, the number of visitors to the stand is not limited. If the infection rate develops in a positive way, masks may be removed at tables at stands. The requirement in this case is always that the minimum distance of 1.5 meters can be safely maintained.

On public transport
For visitors arriving by public transport, the current rules regarding local public transport apply.

At hubs
At known hubs such as the entrance area or cloakroom where lines can occur and large numbers of visitors congregate, special rules will apply. Employees will also receive infection protection training.

In forum and conference areas or seating
The minimum distance of 1.5 meters applies in forum and conference areas. Measures such as access control and suitable seating etc. will ensure that the minimum distance can be maintained.

General guidance system
When determining the routes, care must be taken to avoid hubs, for example with floor markings. Elevators may only be used by a maximum of one person.

Ventilation
Messe München has its own ventilation concept. The ICM - International Congress Center München is equipped with a modern ventilation system that operate with the highest possible proportion of fresh air and the lowest possible proportion of circulating air. In addition, the indoor air is increasingly replaced by fresh outdoor air.

Mouth and nose cover – indoor areas
At the moment, a mask covering the mouth and nose must be worn in all indoor areas on the venue, regardless of whether the minimum distance can be maintained. Participants who do not have their own mask will be provided with one.

Mouth and nose cover – outdoor areas
If the minimum distance of 1.5 meters cannot be maintained, a mask must be worn in outdoor areas on the the ICM – Internationales Congress Center München (e.g. courtyard).

Mouth and nose cover – Smart Space
If the infection rate develops in a positive way, masks may be removed at tables at stands. The requirement in this case is always that the minimum distance of 1.5 meters can be safely maintained. Further, the exhibitor must collect separately the contact details of anyone who takes part in a conversation.

Mouth and nose cover – in conference rooms
The conference rooms are seated with sufficient distance between each other. When taking a seat, the mouth-nose cover can be removed. It must be put back on when leaving the seat. There is a maximum number of participants per conference room.

Hygiene at the Smart Space
The exhibitor must name a person present at the stand as a contact person for ensuring compliance with the hygiene and clearance rules, such as the disinfection of useful areas.

Cleaning at the Smart Space
An hourly cleaning service will be organised and run by Messe München for all exhibitors at the EXPO REAL Hybrid Summit.

Sanitary areas and cleaning
Our sanitary facilities will be cleaned at regular intervals. Hand washing and disinfection facilities with adequate distancing are provided.

Disinfectant dispensers and cleaning
Disinfectant dispensers will be provided at all key locations on the site. Surfaces which are touched regularly (e.g. counters, tables, handrails) will be cleaned more often.

Doors
All doors with the exception of fire doors will be kept open at all times in order to reduce contact with surfaces.

Traceability in the event of an infection
By purchasing a ticket online or using their exhibitor or service partner pass, all participants have registered in advance in order to receive their access authorization. This way, we can ensure that Messe München can identify contact persons quickly in the event of a coronavirus infection.

Tracing at (trade fair) stands
At the moment no separate tracing at the stand is necessary. If the infection rate develops in a positive way, the mouth and nose cover can be removed at stands at the table. The requirement in this case is always that the minimum distance of 1.5 meters can be safely maintained. Further, the exhibitor must record the contact details and the presence at the stand of the contact person separately. The exhibitor is free to decide how this registration is carried out: Either with a digital registration tool of their own or the data can be entered manually, e.g. using a list or business card.

Number of visitors
For each event there is a defined number of visitors allowed on the event area at the same time. This number is based on the event space and is set by the authorities.

Catering
In catering areas, the general rules for Bavarian catering establishments apply.

Catering
For reasons of space and hygiene regulations, you cannot provide your own stand catering on the Smart Space. Catering at the event is available only from our catering partner Käfer Messegastronomie. You can find further information here.

Parking
Messe München, the ICM – Internationales Congress Center München and the MOC Veranstaltungscenter have a parking concept with enough parking spaces and are experienced in organizing increased traffic.

Medical care – Exhibition grounds & ICM – Internationales Congress Center München
The medical service is constantly present at events—from setup throughout the entire trade show and stand dismantling period. The first-aid stations are located in the main entrances West and East, as well as in Hall C4, depending on hall occupancy. Paramedics and physicians will treat medical emergencies directly on the spot. If necessary, the public rescue service (ambulance) is called in to provide assistance. There is also a hygiene official on site.

Exhibition partners

You can register your logo partners (formerly co-exhibitors) via a logo partner URL. You will receive the URL link in your registration confirmation after you have reserved a Smart Space.

Exhibition partners receive a contingent of exhibitor passes with the booking of a Smart Space. Additional exhibitor representatives who wish to be on site must purchase Summit Tickets.

Exhibition partners receive a contingent of Digital Passes when booking a Smart Space. Additional reduced Digital Passes can be purchased in the Exhibitor Shop. For your information – the Summit Ticket also includes a Digital Pass.

You can order Digital Passes in the Exhibitor Shop. Your customers can use the Digital Pass voucher code to redeem their voucher quickly and easily on the EXPO REAL website under Tickets & Prices. They are guided step by step through the entry menu, redeem the Digital Pass voucher code for a free Digital Pass and then receive their personal access to the digital event area of the EXPO REAL Hybrid Summit starting two weeks before the event.

There is no limit to the number of logo partners at the Smart Spaces. However, the area for graphics is limited. The dimensions of graphic areas at the Smart Spaces can be found here.

For a Smart Space M, L and joint stand, you can optionally book a private screen, via which you can stream people live to your stand. Events such as discussion panels, speeches etc. are not possible at the Smart Spaces for reasons of health protection. You would have to book a conference room for a larger setting or a meeting room for a smaller setting. Conference and meeting rooms can be booked in the Exhibitor Shop from August 13.

The Summit tickets are subject to a quota. However, due to the requirement to wear a mouth-and-nose covering, the number of visitors to the Smart Spaces is not limited.

There will be an EXPO REAL Summit Guide on site, which will provide information about the list of exhibitors and the program. The digital guide includes the online catalog and the EXPO REAL app with a list of exhibitors.

Any modification or addition to the stand equipment, in particular the placement of banners, roll-ups, advertising stands and the use of decorative items and additional furniture is not permitted. Exhibitors are also not allowed to hang up advertising posters outside the designated advertising areas at the stand or to bring in other objects, such as brochures, flyers, writing materials, notepads, etc., which cannot be stored in the stowage spaces provided in the stand.

Evening events are not permitted at the EXPO REAL Hybrid Summit. Daytime events may only take place in the meeting and conference rooms of the ICM. Meeting and conference rooms can be booked via the Exhibitor Shop from August 13, 2020.

You must book the allocated meeting room slots (number depends on booking of Smart Spaces) via the Exhibitor Shop by September 14. If any exhibition partners do not make use of this offer by mid-September, additional available meeting rooms can be booked in the Exhibitor Shop from September 15 onward.

Only exhibition partners can book a slot in the Discussion & Networking Forum. The Forum will also be live-streamed to all participants with a Digital Pass. You are welcome to send a booking request to Lea Hümmler, lea.huemmler@messe-muenchen.de .

In addition to our meeting rooms for max. 40 people and the Discussion & Networking Forum, you can also book conference rooms via the Exhibitor Shop. Please note that the conference rooms are not equipped with live streaming technology. The conference rooms can only be visited by participants with a Summit Ticket.

Stand construction and dismantling will be carried out by the stand constructor Meplan on behalf of Messe München GmbH and coordinated by the EXPO REAL project management team. The Smart Spaces for exhibition partners will be ready for occupation on the evening of October 13, 2020. More detailed information will be communicated to the exhibition partners in good time.

High-touch surfaces such as tables and other larger surfaces are scheduled to be disinfected hourly. Cleaning agents and cloths will also be provided.

Catering

For reasons of space and to comply with health regulations, you cannot book your own stand caterer. You can obtain catering at the event from our catering partner Käfer Messegastronomie. You can find further information here.

For reasons of space, no refrigerators can be placed at the Smart Spaces.

Individual stand catering is not permitted.

What health regulations will apply to stand catering provided via the Käfer web shop?

  • Delivery of sealed beverage containers (e.g. coffee pots with portioned milk and portioned sugar; beverage crates)

What health regulations apply in the DELI market?

  • Self-service provision of refrigerated beverages in sealable PET bottles
  • Coffee served by service staff in disposable cups with lids
  • Shelves and self-service refrigerated counters with sealed food (e.g. desserts and mueslis in jars sealed with lids, salads in jars with lids, individually packed muesli bars and nuts), which can be removed without contact
  • Warm food is served at a buffet station. The kitchen staff fill the food, protected by Plexiglas, into jars with lids
  • Food labelled on signs above the sales counter
  • Serving areas protected by sneeze guards
  • Route guidance with one-way flow control and distance markings on the ground

Stand construction

Carpet

The carpet is light gray.

It is Eurosoft.

No, the Smart Spaces have a uniform design concept and the carpet color should be the same for all stands.

Equipment / Furniture

Smart Spaces cannot be individualized because they are pre-fab packages, which are built by our stand constructor MEPLAN. No changes can be made to the stand construction.

This is not possible given the uniform design concept.

In principle it is possible, but this will have a negative impact on the acoustics at the stand. If you do open the curtain, you will be responsible for keeping proper distancing.

You can book a platform incl. sneeze guard, which you can place left and right of the wall to create a separation from the neighboring stand.

This is not possible given the uniform design concept. In addition, the furniture is designed to ensure easy cleaning and disinfection of surfaces. Please note the Conditions of Participation B, paragraph B12, no changes or additions to the stand equipment are permitted.

This is not possible given the safety concept and distancing regulations.

Additional items can be stored in the West Entrance at the cloakrooms or in lockers.

The info counter has a shelf where a cleaning agent and a waste bin are placed.

The info counter is lockable, but not theft-proof.

The height measured from the floor is 1.90 m including counter or table.

Stand graphics

Only the graphic areas that can be optionally booked are available. Additional graphic areas cannot be added.

Please book your graphics exclusively through MEPLAN. Installation is included. We would also like to draw your attention to the EXPO REAL Conditions of Participation B.

The graphics areas cost between EUR 100 – EUR 120 per square meter.

Technical equipment

An additional monitor can only be booked for Smart Space S and L.

There is only one standard size. With the Smart Space L, the size of the second monitor can be selected or an alternative supplied if the ordered device is no longer available.

You can book an HDMI cable including routing for the monitor with MEPLAN.

A separate socket extension may be fitted, but no additional devices that exceed the 1 kW capacity. You are welcome to order sockets, switches, etc. from MEPLAN and you can pick them up at the information counter on site.

You are welcome to bring your own USB hub.
